Emergency Assistance Coordinator (Hays)
DEPARTMENT: Stabilization & Outreach Services HOURS/LEVEL: Full-Time, Coordinator 1
REPORTS TO: Director of Stabilization & Outreach Services CLASSIFICATION: Hourly (Non-Exempt)
SUPERVISES: None LOCATION: Hays, KS
As the welcoming face of our Hays office, this position plays a crucial role as the initial point of contact for our
clients. This position involves routing calls and visitors to the correct staff or program, as well as the review of
emergency assistance applications and serving as the liaison between vendors and the agencys financial director
for payments.
ESSENTIAL FUNCTIONS/DUTIES
1. Reception Duties
Warmly greet all guests entering the office, directing them to appropriate staff.
Manage and respond to voice messages on the main phone line.
Answer incoming phone calls in a professional manner, determine the nature of the call and
forward it to appropriate staff members.
Receive and process agency in-kind donations (intended for general agency, not Thrift Store
donations)
Maintain alphabetical filing of client paperwork.
Sustain the cleanliness of the office by ensuring the front desk area is tidy and lobby is swept and
mopped as necessary.
Take weekly deposits to the bank and email the monthly mileage/postage logs to the Director of
Finance & Operations.
Provide essential administrative support to team members as needed.
2. Coordination of Emergency Financial Assistance
Review applications for emergency assistance (Rent, Utilities, Prescriptions) and meet with
applicants (in-person or by phone) to discuss current issues related to application.
Ensure agency intake is completed and client information is updated in the agency data
management system.
Review applications for emergency assistance (Rent, Utilities, Prescriptions).
Assist clients needing non-financial emergency assistance (food, hygiene, bus passes, gas
vouchers, diapers, and wipes).
Aid clients in determining needs and make appropriate referrals.
Accept applications for agency programs or services and assist clients with questions.
o Verify attached documentation for applications.
o Make necessary copies of applications.
o Route completed applications to the appropriate staff.
Process counseling payments and assist in scheduling program appointments by accessing staff
calendars, inputting appointments, and providing information to clients and staff.
3. Position Backup Duties
Serve as the backup for the Hays Community Engagement & Outreach Coordinator position and
all duties required of that position.
4. Serve as liaison for agencys Christmas Program
Work in collaboration with the Director of Stabilization and Outreach Services to coordinate the
program in the Hays office region.
Qualifications:
Initiative and Drive: High School Diploma or equivalent work experience required. Comfortable using and
implementing technology. Energized by collaboration and sharing the impactful work of Catholic Charities.

mission. Ability to relate to people of diverse backgrounds, training, and experience, and be a team player
in the organization.

other regulatory policies.
Adherence to Values: Willingness to abide by Catholic Social Teachings in carrying out the duties of this
position.
Physical and Language Proficiency: Must be able to lift 30 pounds. Fluent in Spanish preferred . Must have
excellent interpersonal and communication skills.
TRAVEL
This position entails occasional travel to the other Catholic Charities offices and to other communities within the Salina
Diocese. These trips are generally accomplished during normal business hours Monday through Friday. There may be
occasional overnight travel to professional conferences, meetings, or trainings.
